ARTISTIC COORDINATOR

Position Description

Opera Theatre of Saint Louis is hiring for the position of Artistic Coordinator. This full-time position provides executive support to the Director of Artistic Administration in the day-to-day operations of the Artistic department. The Artistic Coordinator coordinates year-round artistic services for artists in residence as well as assists the Director in all aspects of artistic administration, including but not limited to expense tracking and forecasting, calendar management, artistic planning and implementation, and artistic database management.  

Responsibilities Include:

Executive & Team Support

  • Provides executive support to the Director of Artistic Administration in the areas of calendar management, special projects, expense reports, and travel arrangements.
  • Coordinates travel and lodging for special guest artists and Artistic staff as requested.
  • Provides on-site artistic duty at performances, rehearsals, and events as needed.
  • Processes and reconciles department expenses.
  • Assists Director of Artistic Administration in facilitating team-building opportunities and stewarding a collaborative and inclusive team culture.

Artist Services

  • Serves as first point of contact for logistical needs of seasonal staff and artists, serving to troubleshoot, problem solve, field inquiries, and manage phone/email communication.
  • Manages all housing and travel for artistic personnel in residence throughout the year and in Festival Season, including coordination of hotel reservations, negotiation of housing and car rental agreements, and preparation of tenant applications.
  • Attends to logistical needs of artists for medical care, banking assistance, and interactions with governmental agencies while in residency.
  • Manages vendor relationships and negotiation vendor contracts in support of artist services.
  • Schedules and manages on-site logistics for industry professionals and clinicians during Festival Season.
  • Assists in maintaining accurate artistic personnel data and records in Arts Visions.  
  • Liaises with OTSL Guild housing volunteers to coordinate patron housing for artists as needed.
  • Processes complimentary ticket requests from artistic personnel, managers, and industry guests.

Audition Tour Management

  • Researches and proposes scenarios for annual audition tour, including timing and locations.
  • Arranges travel and lodging for audition tour personnel.
  • Identifies and books optimal audition venues.
  • Conducts post-tour analyses to inform future audition planning.
  • Assists in executing audition logistics as needed.

Music Library Support

  • Ensures scores are delivered to all artistic personnel (singers, conductors, music staff, orchestra, etc.)
  • Oversee music library maintenance and maintains library catalog.

Compensation

Salary: $36,000-$38,000 plus benefits. This is a full-time, non-exempt position.

About Opera Theatre of Saint Louis

Opera Theatre of Saint Louis (OTSL) is a nationally recognized nonprofit organization known for innovative productions featuring outstanding young artists.  The company offers a festival opera season each spring which attracts ticket buyers from zip codes throughout the metropolitan area, as well as visitors from nearly 50 states and multiple countries.  As of 2021, Opera Theatre of Saint Louis has presented 31 world premieres and 28 American premieres, which may be the highest percentage of new work in the repertory of any American company. In addition to the spring Festival Season, Opera Theatre operates year-round education and community programs serving nearly 17,000 local children and adults. 

Opera Theatre of Saint Louis has a year-round artistic and administrative staff of 35, which increases to approximately 500 during the Festival Season. Several hundred volunteer members of the Opera Theatre Guild provide support for all aspects of Opera Theatre’s work and advocate for the company throughout the greater St. Louis community. The company’s annual budget size is approximately $10.8 million; contributed revenue represents more than 50% of budget.

Requirements

Qualifications

  • Bachelor’s degree from an accredited college or university preferably in the arts, arts administration, music business, or equivalent experience preferred.
  • 1-2 years’ experience working in an administrative role or non-profit setting.
  • Familiarity and appreciation of opera or classical music.
  • Proficiency in Microsoft Office Suite.
  • Curiosity and capacity to seek and synthesize information.
  • Detail-oriented and demonstrated organizational skills.
  • Skilled facilitator and problem-solver.
  • Strong oral and written communicator.
  • Collaborative and supportive team player.
  • Willingness and curiosity to learn and take on new skills.
  • Positive can-do attitude
  • Position requires evening and weekend obligations during key times of year
