PURPOSE:The Administrative Assistant to the Music Director will provide administrative support to the Music Director, with a focus on out-season preparation and remote support for international travel. This temporary, on-site position will begin full-time in December 2023 and end in late April-early May 2024, with a possibility to extend through late June as mutually agreed upon.
ESSENTIAL JOB FUNCTIONS:
- Provides key administrative assistance to the Music Director, supporting a number of initiatives and touchpoints. Duties will include calendar management; scheduling and coordination of all meetings; collaboration on drafting correspondence; travel accommodations and itineraries; managing accounts and expenses.
- Serves as primary contact for all logistical matters pertaining to upcoming Music Director projects; including season preparation; orchestra auditions; and marketing and communications engagements.
- Communicates directly, and on behalf of the Music Director, with staff, musicians, patrons, industry colleagues and donors. Serves as a liaison between various departments and the Music Director; monitors various channels of communication to ensure a dynamic flow of information to and from the Music Director.
- Assists with the coordination of and provides on-site support for the Music Director’s interviews, events, and public engagements as needed.
- Alternative work hours, including nights and weekends, required based on the Music Director’s schedule, both while at SFO, and while the Music Director is traveling.
SECONDARY FUNCTIONS:
- Serves as onsite liaison at special events involving artists, as directed.
- Performs other job related duties as assigned.
Requirements
EDUCATION
- Bachelor's degree from an accredited college or university (preferred) or equivalent work experience.
EXPERIENCE
- Minimum three (3) years increasingly responsible general administrative work preferred.
- Experience in the symphonic or operatic fields preferred.
- Experience providing support for international business travel preferred.
PREREQUISITE SKILLS AND REQUIREMENTS
- Ability to read music with a base knowledge of music theory.
- Knowledge of opera repertoire and theatrical production and/or performing arts preferred.
- Position requires some extended hours, as well as evening and weekend obligations, especially during the rehearsal and performance period beginning in April 2024.
- Outstanding communication, both written and verbal, and organizational skills.
- Outstanding interpersonal skills including the ability to interact with staff, artists, musicians, and patrons in a professional, confidential and tactful manner.
- Must maintain a high level of confidentiality.
- Ability to effectively and accurately plan, organize, and coordinate people and events.
- Ability to provide a high level of administrative support and organization.
- Ability to work independently and as a member of a team; prioritize diverse and multiple tasks; maintain flexibility and attention to detail; and exercise good judgment and initiative.
- Ability to manage multiple, competing priorities successfully.
- Ability to thrive in a fast-paced, rapidly changing environment.
- Proficiency in Microsoft Office applications; database skills desirable.
- Familiarity and knowledge of foreign languages preferred, especially German, Italian, French and/or Russian.
- Must perform the functions of the position in a safe manner.
